How Much Does a Booking System Cost for a Small UK Business?

If your clinic, studio, salon or service business still takes bookings by phone or message, a proper booking system is usually the single most valuable thing you can add to your website. It saves admin time, cuts missed calls and — when set up well — reduces no-shows. The cost depends on how closely it needs to match the way you work.

Three ways to get online booking

TierTypical Range
Off-the-shelf booking toolFree – c. £60 / month
Booking built into your website£2,500 – £6,000
Bespoke booking system£8,000+

What changes the price

Deposits and payments — Taking a deposit at booking is one of the most effective ways to reduce no-shows, but it adds payment integration and refund rules.

Rules and availability — Simple appointment slots are easy. Treatment lengths that vary by service, buffer times, multiple staff and room or equipment limits are where complexity comes in.

Reminders and follow-ups — Automatic confirmations, reminders and aftercare messages are cheap to add and pay back quickly. See our list of automation ideas for salons, clinics and beauty businesses.

Client records — Anything that stores health or consent information needs careful handling under UK GDPR. It is worth designing in from the start rather than bolting on.

When off-the-shelf is enough

If you have one or two people, a handful of services and no unusual rules, a hosted tool embedded in a well-built site is often all you need. Start there, and move to something custom only when you hit real limits — double bookings, work arounds, or monthly fees that keep rising.

When custom pays for itself

If staff are re-keying bookings into another system, if courses and packages don't fit a standard tool, or if you want booking, payment, reminders and records in one place, a tailored system removes the manual work. We covered a local example in our Erased Laser Hair Removal case study, where the whole site was designed to move a visitor from interested to booked.
